For each journey, we use the most accurate recognised method its data supports: Cirium for flight-level fuel burn, Green Travel Data for rail, and DEFRA conversion factors (the UK Government's published set) for car and hotel. Where the data allows, we also use specialist sources such as Google Emissions APIs. Each journey's audit trail records which method was used, matched to your reporting context.

RouteZero brings together data from booking provider reports, expense systems, car hire providers, and hotel bookings into one view. Where datasets overlap, duplicates are removed automatically.

Reports are aligned with the GHG Protocol, which classifies business travel as Scope 3 Category 6, and each includes a full methodology document covering emission factors, distance calculations, data reconciliation, sensitivity analysis, and known limitations. If your organisation has specific reporting requirements, we can work with you to tailor the output to match.

Every booking goes through automated checks: spotting duplicates, verifying mileage, cross-checking emissions, finding gaps in the data, checking every period is covered, and more. We flag and fix issues before figures are finalised, and every fix can be traced back to its source.

Your data is stored in the UK, on Microsoft 365, which is certified to ISO 27001 and has SOC 2 reports. It’s processed on company devices in the UK. After we remove or replace names and other identifying details, AI-assisted checks use Anthropic’s Claude models. Anthropic stores data in the US. Our website runs on Google Cloud Platform and holds none of your data.

The primary copy is stored in the UK, which isn’t part of the EU. The EU has an adequacy decision for the UK, which recognises UK data protection as equivalent to its own. AI-assisted processing uses Anthropic, which stores data in the US, under the safeguards in Anthropic’s Data Processing Addendum.

Yes. Your data is encrypted at rest with AES-256, and in transit with TLS. Every company device has full-disk encryption.

Yes. Every company device is encrypted, kept up to date automatically, and protected by antivirus software. Access to the stored copy of your data needs two-factor authentication, and only RouteZero staff can reach it. We check the software we depend on for updates, including security fixes, every week.

Yes. Every change follows a documented process, and nothing is released until a person has reviewed it and it has passed automated checks. Identifiable customer data is never stored in our code.

We use Anthropic’s Claude models under Anthropic’s commercial terms. Anthropic doesn’t train its models on data under those terms, and deletes session data after 30 days. Before Claude sees your data, we remove or replace names and other identifying details, and a member of our team decides what it can see.

Microsoft stores your data, and Anthropic provides the AI that helps us check it. You can see what each one does, and where it stores data, in our sub-processor list. We can share more detail during your security review.

For the length of our agreement. When it ends, you can retrieve your data for 30 days, and we delete it within 90 days, or sooner if you ask. We may keep an anonymised copy to improve our methodology.

Yes. Your data is stored redundantly, so a hardware failure doesn’t lose it, and deleted files can be restored for up to 90 days. Your data itself lives in our cloud storage, so a lost device doesn’t lose it. Every report can be recreated from your data and our version-controlled software.
